Using ChatGPT and Microsoft Copilot for real Excel work

AI tools are genuinely useful for Excel work when you treat them as a fast draft, not an authority. Here is a workflow that holds up.

The productive use of AI in Excel work is narrow and specific: describing intent in words, getting a first draft, then verifying it against data you understand. The failure mode is pasting output into a report nobody checked.

Where it saves real time

  • Turning a described rule into a first-draft formula you then test.
  • Explaining an inherited formula written by someone who left.
  • Suggesting cleanup steps for a messy export.
  • Drafting the commentary that accompanies a report.
  • Converting a manual sequence into documented steps.

How to prompt for formulas

  1. State the column layout and what each column contains.
  2. State the rule in business terms, including edge cases.
  3. Say which Excel version you use, so the answer stays compatible.
  4. Ask for a short explanation alongside the formula so you can verify the logic.

What to always verify

  • Test on a small sample where you already know the correct answer.
  • Check boundary rows: blanks, zeros, duplicates and the newest records.
  • Confirm totals reconcile against a known source.
  • Never paste confidential data into a tool your organisation has not approved.

Copilot inside Microsoft 365 has the additional advantage of working with your document context, which makes it stronger for drafting and summarising than for arithmetic you have not checked.
