Excel and Power BI are not competitors so much as different stages. These signals tell you which stage your reporting is at.
Learners often ask whether they should skip Excel and go straight to Power BI. In most business roles the honest answer is that strong Excel skills make Power BI easier, because the modelling logic is the same.
Stay in Excel when
- The dataset fits comfortably in a worksheet.
- The work is mostly calculation, scenario work or ad-hoc analysis.
- Recipients need to edit numbers themselves.
- The report is used by a small team and changes often.
Move to Power BI when
- Data comes from several systems and needs a shared model.
- The same report must be refreshed and distributed on a schedule.
- Many people need read-only interactive views.
- Row volumes make Excel slow or unstable.
What transfers between the two
Data shaping habits, table structure, relationships and the discipline of one clean fact table all carry over. Power Query is literally the same engine, and DAX rewards anyone who already thinks in terms of measures rather than cell references.
